    Our Planning Process

    The Italy’s Best Planning Process

When you choose us, we guide you through a proven process to design an Italy trip that fits you and your travel companions perfectly. We’ve refined this approach over more than two decades, using it to create hundreds of personalized Italy itineraries. It all starts with you. The more we learn about your preferences, the more seamless, personalized, and memorable your journey becomes.

A Few Questions to Get Started

✓ Who’s traveling? How many people, ages, and any special considerations.

✓ What do you love? Interests, pace, passions, and anything that helps us make the best recommendations.

✓ How much time do you have? Share your dates and trip length.

✓ What’s your budget? If you have one, we’ll design within it and maximize value.

✓ What does your perfect day in Italy look like? (Relaxed and scenic? Food-and-wine focused? Art and history? A mix?)

✓ Have you been to Italy before? If yes, when and where did you go? If not, have you traveled internationally?

✓ Any must-dos or must-see experiences? From something specific like “tour the Colosseum in Rome” to something dreamy like “sip wine by the Mediterranean at sunset.”

    How It Works

    Step 1: The Big-Picture Itinerary

We start by mapping the overall flow of your trip. Based on your answers, we’ll share handpicked destination and experience recommendations tailored to your interests. This is the most time-intensive step—and the most important. You’ll tell us what’s a must-do, what’s a nice-to-have, and what can wait for next time.

    • Covers your must-dos (and helps you prioritize if time is limited)
    • Keeps a comfortable pace—never rushed
    • Follows a smart geographic route, so you’re not crisscrossing Italy
    • Feels balanced (city → countryside → seaside, not city after city)
    • Fits your logistics and preferences, like avoiding driving

    Step 2: Accommodations

Once your itinerary is set—and your dates and flights are confirmed—we move on to accommodations. We’ll recommend and book the right fit for your style, from boutique hotels to luxury properties. We’ll ask a few quick questions about what you like (hotel size, vibe, key amenities like a pool/gym/onsite dining, and preferred room features such as views, a balcony, or a suite). Traveling with family or a group? We’ll also find the best room combinations for everyone’s comfort.

    • Match your preferences and budget
    • Are in excellent, convenient locations
    • Are available for your exact dates

Step 3: Bringing Your Trip to Life

Once accommodations are booked, we plan the experiences that bring your trip to life. We already know your key highlights—now we fine-tune every detail to match your travel style. We’ll also balance structured experiences with downtime. Want a slow countryside day by the pool? Perfect. If you feel like exploring, we’ll set you up with easy, flexible options—like towns, wineries, or scenic stops that don’t require advance bookings. For every experience, we recommend and book options that fit your preferences, budget, and pace—and we handle the logistics and reservations.

    • A private guide or a more independent visit with skip-the-line tickets
    • VIP, behind-the-scenes access when you want to splurge
    • A cooking experience with a professional chef or a home-style class with a local, with options like market visits, kid-friendly pizza and gelato, or more tasting than cooking

Step 4: Travel Logistics & Getting Around

In Italy, logistics can make or break a trip—so we handle them with care. The goal is simple: everything should flow so smoothly you barely notice the logistics at all. Based on your preferences, we confirm what works best for you—whether you’re comfortable driving, prefer trains and boats, need private transfers in key places, or want to minimize walking (especially with luggage).

    • Purchasing train tickets
      Booking rental cars
    • Coordinating private drivers when helpful
    • Planning boat routes and schedules
    • Arranging airport transfers and point-to-point transportation

Step 5: Food, Dining & Reservations

We wrap up your custom Italy vacation with one of the biggest highlights: eating well. Of course, food can be part of the conversation from day one—and we love that—but most restaurants in Italy don’t release tables far in advance. Many won’t accept reservations until roughly 3–4 weeks out, so we schedule this step at the right time to secure the best options. Before we book anything, we’ll confirm what works for you—dietary needs and allergies included. Gluten-free, vegetarian, vegan, or specific allergies are all completely manageable. We’ll also walk you through what to expect locally, like typical dinner hours and a few dining customs that can surprise first-time visitors.

During high season, we strongly prefer having dinner plans in place—even a reservation you can cancel—so you’re not left hunting for a table when you’re tired and hungry.
